Smart Receipt & Expense Management Platform
Project Overview
We designed and developed a full-stack smart receipt and expense management platform built across a Flutter mobile app, web portal, and admin dashboard. The platform allows users to capture receipts through QR code scanning or image upload, store purchase records digitally, and automatically identify warranty periods, return windows, and replacement deadlines — sending reminders before each one expires. Beyond receipt storage, the platform provides multi-dimensional expense analytics by merchant, merchant category, item, and item category. Users can split receipts item-wise, percentage-wise, equally, or by custom amounts, and collect money directly from participants through an integrated payment gateway. The result is a complete post-purchase assistant that makes every receipt useful long after the point of purchase.
The Challenge
- Users had no reliable way to capture and store physical receipts digitally — leading to lost proof of purchase, missed warranty claims, and unclaimed returns and replacements.
- Tracking warranty, return, and replacement periods across multiple purchases was entirely manual or ignored, resulting in missed deadlines and direct financial loss for users.
- Expense visibility was limited to total spend — no structured way to understand spending by merchant, individual item, or category across hundreds of purchases.
- Splitting shared bills required manual calculation across separate apps, with no structured way to track who owed what or collect money from participants reliably.
- Building a multi-channel receipt capture system that could extract structured item-level data — including warranty periods, return windows, and pricing — required a robust OCR and AI processing architecture.
Our Solution
- Built a Flutter mobile app with QR code scanning and receipt image upload, integrated with OCR and AI extraction to convert receipts into structured, searchable purchase records with item-level data.
- Developed an automated warranty, return, and replacement tracking engine that calculates expiry dates from receipt data and schedules multi-stage reminder notifications before each deadline.
- Designed a multi-dimensional expense analytics module delivering views by merchant, merchant category, item name, and item category — giving users real spending clarity beyond basic total amounts.
- Built a flexible receipt splitting system supporting item-wise, percentage-wise, equal, and custom splits with per-participant payment tracking and in-app payment collection through an integrated payment gateway.
- Delivered a web portal for full desktop access and a comprehensive admin dashboard covering user management, receipt monitoring, category management, reminder tracking, split analytics, and payment transaction oversight.
Technical Approach
The defining technical challenge in this project was receipt data extraction. A receipt is an unstructured document — formats vary by merchant, items are listed in inconsistent structures, warranty and return information may be printed in different positions or not at all. Getting reliable, structured, item-level data out of a photographed or QR-scanned receipt required building a multi-stage extraction pipeline rather than relying on a single OCR pass.
The pipeline works in layers: OCR converts the receipt image to raw text, a layout analysis step identifies the document structure — header, line items, totals, terms — and an AI extraction model then parses the structured regions into clean, typed data fields: merchant name, individual items, quantities, unit prices, taxes, and — where present — warranty duration and return window. The result is a receipt record that is not just stored but understood at the item level, enabling the analytics and tracking features that make the platform valuable.
The warranty and return tracking engine is built around calculated expiry dates derived from the receipt date and the extracted warranty or return period. The reminder system is multi-stage — users receive a first reminder well before expiry and a final reminder as the deadline approaches. This required building a reliable scheduled notification infrastructure that works correctly across time zones and handles the full lifecycle of a reminder: created, sent, acknowledged, and expired. We also handled edge cases such as extended warranties purchased separately and items with no warranty information.
The receipt splitting feature required more engineering depth than it appears. Supporting item-wise splits — where different participants pay for specific line items — means maintaining a per-item ownership model within each split, tracking partial payments against individual items, and reconciling the split against the total. The in-app payment collection integrates a payment gateway with per-participant payment links, real-time payment status tracking, and automatic settlement detection. The admin dashboard gives the platform operator full visibility into all splits, payment statuses, and transaction histories across the user base.
